THE GIG, IN A NUTSHELL
The Administrative Assistant, Executive and Content Team Support role provides high-quality administrative assistance to the Executive Vice-President, Content Strategy and Industry Development, the Executive Vice-President, Communications, Strategies and Public Affairs and the broader Content team. The role coordinates meetings, travel, communications, documentation, program-launch activities, and departmental processes while supporting the efficient operations of the Montreal office premises. Through strong organization, attention to detail, and proactive follow-up, the position contributes to effective collaboration and the timely delivery of departmental priorities.
WHAT YOU’LL DO
Executive Support (EVPs)
- Manage calendars, appointments and travel needs for the Executive Vice-President, Content Strategy and Industry Development and Executive Vice-President, Communications, Strategies and Public Affairs, both based in Montreal
Montreal Office Support
- Administer efficient operations of the Montreal office including but not limited to:
- Coordinating office supplies, deliveries, service providers, and facilities requests
- Serving as an on-site contact for employees, visitors, and building management
- Supporting meeting-room readiness and office-based events
- Liaising with Corporate Services regarding office needs
- Escalating facilities, health and safety, or workplace issues to the appropriate internal contact
Departmental Operations Support (Content Team)
- Organize and facilitate regular Content team meetings and interdepartmental and external meetings (e.g. CMF annual consultations), including sending save the dates, calendar invitations, booking facilities and catering booking, arranging travel, preparing meeting agendas (if required), drafting and circulating meeting minutes ensuring that action items are documented and followed up on in a timely manner, and managing all technical aspects of virtual meetings on Teams and Zoom
- Manage and keep up to date the Content team common files on SharePoint
- Create and maintain centralized databases on different decisions
- Support process management: monitor deadlines, action items and project milestones, using Monday.com platform
- Coordinate translation process through via BridgeTerm
- Second review of essential documentation such as program guidelines, press releases, financing agreements for spelling errors, redundancy, inconsistencies, in compliance with CMF terminology database (LogiTerm)
- Provide final information to the CMF webmaster for (short program summary, program deadlines, guidelines in En and FR, other applicable documentation, links to the application portal), updating program deadline page
- Collect and process invoices where needed and follow-up in collaboration with Finances.
- Establish and maintain effective relationship and communication channels among Content team members, and with colleagues from other departments
- Other duties, as necessary
WHO YOU ARE
Education
- College diploma or other post-secondary education in office administration, business administration, communications, or a related field, or an equivalent combination of education and experience.
Experience
- Relevant experience in a bilingual administration / executive support role
- Supporting multiple leaders or balancing requests from multiple sources
- Working in a bilingual environment
- Coordinating meetings, travel, documentation, and deadlines
- Experience coordinating translation and bilingual document-production processes is an asset
- Experience working in a hybrid environment is an asset
Knowledge / Ability
- Exceptionally strong French-language writing and proofreading skills are essential
- Advanced proficiency in French and English, both spoken and written, is required
- Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint
- Demonstrated ability to learn and use digital collaboration, project-management, document-management, and virtual-meeting tools
- Ability to use AI tools (Copilot), project management tools (e.g. Monday.com, Zoom, BridgeTerm), translation tools (e.g. LogiTerm) and DocuSign are a strong asset.

THE GIG, IN A NUTSHELL
The Communications and Media Coordinator supports the CMF’s communications activities by coordinating the CMF's media monitoring, translation services, and internal/external communications initiatives, including production of daily media reports, industry newsletters, and content that supports stakeholder engagement and organizational visibility, alongside general team support. Through strong writing, organization, attention to detail, and proactive follow-up, the position helps ensure the timely delivery of clear, engaging, and high-quality communications.
WHAT YOU’LL DO
Media Monitoring & Reporting
- Monitor and track traditional and digital media coverage relevant to the CMF, funded projects, and the Canadian screen-based industry.
- Produce and distribute a tri-weekly bilingual media report summarizing key news, industry developments, stakeholder activity, and media mentions.
- Maintain media tracking databases and prepare monthly and annual reporting on media coverage, trends, and visibility metrics.
- Track awards, nominations, and recognition received by CMF-funded projects and compile data for organizational reporting.
Translation Coordination
- Coordinate all organizational translation requests, ensuring timely delivery of English-to-French and French-to-English content.
- Manage relationships with freelance translators and external language service providers.
- Maintain translation schedules, workflows, and priorities across departments to meet competing deadlines.
- Review and coordinate translated materials to ensure consistency, quality, and brand standards.
Newsletter & Content Coordination
- Work with the Senior Manager, Communications to coordinate the planning, production, and distribution of industry newsletters.
- Gather content from stakeholders across CMF, draft newsletter articles, announcements, and feature stories.
- Manage newsletter production schedules and publication calendars.
- Support content publishing across digital channels, including website updates and communications materials.
- Draft, edit, and proofread a variety of communications products including staff communications, website content, executive messaging, and promotional materials.
Communications Projects & Stakeholder Support
- Support communications initiatives, campaigns, publications, reports, and events from planning through execution.
- Coordinate creative assets with agencies, designers, and internal stakeholders.
- Maintain CMF image and content libraries for communications use.
Administrative & Operational Support
- Coordinate communications department invoicing, vendor payments, and budget tracking.
- Manage shared communications inboxes and route inquiries appropriately.
- Schedule meetings and provide administrative support to the Communications team as required e.g. planning annual team retreats
- Track contracts, purchase orders, and external vendor relationships related to communications activities.
WHO YOU ARE
Education
- Bachelor’s degree in Communications, Public Relations, Journalism, Marketing, Arts Administration, or a related field.
Experience
- 2-4 years of experience in communications, media relations, public affairs, marketing, content development, or a related role.
- Experience coordinating multiple projects and deadlines in a fast-paced environment.
- Experience preparing communications materials, newsletters, reports, website content, or stakeholder communications.
- Experience working with external vendors, service providers, or creative partners is considered an asset.
- Experience supporting bilingual communications and translation processes is considered an asset.
Knowledge/Ability
- Excellent written and verbal communication skills in English and French is required.
- Knowledge of communications principles, content development, media monitoring, and stakeholder engagement practices.
- Knowledge of digital communications channels, newsletters, website content management, and social media best practices.
- Strong proficiency with Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
- Knowledge of the Canadian screen-based industry, media sector, or cultural sector is an asset.
- Familiarity with media monitoring tools and newsletter software is an asset.
- Strong organizational skills, attention to detail, and ability to manage competing priorities.
